2010 Camping and Cottage Reservation Information

Annual Membership:

1.       An annual membership fee of $35.00 is required of every family unit occupying a camping site, cottage, pool usage, or renting our buildings or facilities (non-refundable).

2.       Membership fees are to be paid before or along with the initial camping / cottage reservation.

3.       The annual membership entitles you to:

A.    Use of Conference Grounds Facilities. 

      B.    Receive all mailings and voting privileges at the annual meeting.

Camping and Cottage Rates:

1.   Summer Camping Rates Weekly:  Registration Deposit Payment: 
$100 plus $35 membership = $135.00

      A.    A-Section: Trailer pads, cement patios, water, electric and sewer hook ups.

            $37.00 per day/ $259.00 per week, plus $35.00 membership –                    weeks 2 to 10, 12,  & Labor Day WKND

            $33.00 per day / $231.00 per week, plus $35.00 membership –                    weeks 1 & 11 Only.

      B.   B and C Sections: Sand / Hard pack sites, water, and electric hookups.

            $32.00 per day/ $224.00 per week plus $35.00 membership –                    weeks 2 to 12, 12, & Labor Day WKND

            $28.00 per day/ $196.00 per week plus $35.00 membership –                    weeks 1 &11 Only.

      C.   Fall camping rates $25.00 per night $100.00 per week for A/B/C section – starting Sept. 12, 2010  

            Except for Senior week and Family Fall Harvest Festival are
                       $30.00 per night.

2.   Summer Cottage Rates: Registration Deposit payment: 50% of cottage fee plus $35.00 membership

     A.    Peace / Joy / Happiness / Hope / Faith - $775.00 per week plus membership (new cottages).

       B.    Retreat / Fellowship $500.00 per week plus membership.

       C.    Rest $375 per week plus membership.

       D.   Check with office on Fall rates and special weeks ( Senior, Ultimate Date Weekend, FFHF)

Payment:

1.       Conference Grounds accepts cash or checks.  We do not accept credit or debit cards.

A.   Please make checks payable to: Christian Reformed Conference Grounds / C.R.C.G.

B.   Deposit payment must be with registration form or it will not be accepted.

Reservation Regulations:

1.    All reservations are from Saturday to Saturday during the Summer camping season (Memorial Day weekend to Labor Day Week-end), and may be made for 1 or 2 consecutive week periods.

2.   If you want to make a reservation for more than one / two week period an interval of at least 1 week is required between reservation periods.

3.    When making reservations, please stipulate your 1st, 2nd and 3rd choices for conference weeks, camping sections (A, B, or C) and campsites (you may say any section/site for your third choice).

4.   Please review sites carefully and check for size of lot (backside of map) if it can fit your trailer!

5.   Please use one reservation form for each week or two consecutive weeks. Use separate forms for each non-consecutive week!  (you may make copies of the registration forms)

6.   Reservations will be confirmed when we receive your registration form and required deposit.

7.   Reservations for Memorial Day weekend must be for a 3 night minimum (Friday through Monday).

8.   Reservations for Labor Day weekend may be made along with reservations for the preceding 1 or 2 week period, but must be for a minimum of 2 days (Saturday and Sunday).

9.   Sunday arrival and departure for camping is not permitted unless it is a medical emergency.

  Cottage Reservations:

1.   Cottage reservations begin at 7:00 a.m. on Saturday, January 9, 2010 and will end at 3:00 PM.

2.   Cottage reservations will be taken in sequential order: one person at the door, two mail-ins (by lot). That sequence will be followed throughout registration day. No phone calls will be accepted for the initial day of registration!

3.   Mail-in reservations will be accepted starting Saturday, December 26, 2009 for cottages.

4.   Family groups may reserve up to four cottages for a one week period.  
        Additional requests are a separate transaction (place in line or mail.)

5.   Family groups may not make cottage reservations during Special Needs,
        Junior, or Senior High 
weeks.  You may reserve up to two cottages during these weeks.

6.   You will be contacted by mail or a phone call if you did not receive a cottage
         reservation.

7.   ABSOLUTELY NO PETS IN THE COTTAGES, OUT SIDE ON THE PORCH, OR BY 
          THE COTTAGES!

Camping Reservations:

1.  Camping Reservations will start Saturday, January 16, 2010, from 7:00 am and 
          end at 5:00pm.

2.  Camping reservations will be taken in sequential order: one person at the door

           and 2 mail (by lot).   That sequence will be followed throughout registration day.     
           No phone calls will be accepted for the initial day of registration.)

3.  Mail-in reservations will be accepted starting Saturday,  January 2, 2010.

4.  Church or large group reservations (more than four) must be separate
           from individual registrations in their mailing and at walk-in 
           registration time.
5.  Church and family groups (larger than four) may not make camping reservations during
           Junior or Senior High weeks.

6.  The Board of Directors also request that between weeks four and ten that you
           keep your camping requests to two weeks or less so we may accommoadte as
           many familes as possible during our peak camping weeks.
 7.  If you are making multiple reservations for a group of four or less they must be 
           the same campers or it is a separate reservation request (place in line or mail).
 8.  Camping registrations (1,800 requests) take a minimum of one week to process after
           which confirmation will be mailed by the end of the following week - Jan. 23, 2010.

9.   PLEASE -Camping Check-out time is 12:00 (Noon) Saturday and CHECK-IN TIME IS 
            1:00PM - THANK YOU!

Special Needs Week:

1.   Special needs week is scheduled for Week #2 -June 19 TO 26.  Registration will be by mail only!

2.   Families with special needs members may send in their reservations postmarked no earlier than Monday, December 14, 2009. We will accept mail through Thursday, December 17, with registration taking place on Friday, December 18, 2009.   Mail will be chosen by lot with priority being given to campers who on the wait list for 2009 and special needs children living at home.  

3    PLEASE put the letters SNP on the lower left hand corner of the envelope and 
           include the name of your child, age, short description of his/her special needs,
           and the size of their t-shirt.
4.   The number of reservations is limited to the first 48 registrations (chosen by lot).

Non-Reserved Sites:

1.   Requests for non-reserved sites (5 - sites A-54 / B-21 / C-1,2,3) may be made in person 
            of by phone 48 hours prior to the date requested.
2.  
 Non-reserved sites may be taken for a minimum of three days to a maximum of 14 
           days.   
3.   You may extend your stay on an unreserved site if your request is made 48 hours 
           prior to your scheduled leaving and you have not exceeded the 14 day maximum
          camping period.

Cancellation Policy:

1.  Cancellation refund requests MUST BE at least 10 days prior to the reservation date to be eligible for a refund.

2.   Membership Fee ($35) is NOT refundable.

3.   Cancellations received less than 10 days prior to arrival will forfeit their camping deposit unless we are able to re-reserve this site.

4.   Refunds wil NOT be given to those who leave prior to their last day(s) of their scheduled reservation.

5.   Cancellations due to immediate family illness or death are eligible for a camping deposit refund with Director approval. (Grandparent, Parent, Child, Brother, Sister)
6.   You may transfer your camping reservation to a new campsite provided we have received at least 10 days notice. If less than 10 days, your deposit will transfer if we are able to rebook your previous campsite or cottage. If not your camping or cottage deposit on your previous site will be forfeited.

Cottage and Camping Registration Day Guidelines

1        Saturday cottage registration process will start at 7:00 am 
 and end at 3:00 pm. Saturday camping reservations will start
 at 7:00 am and end at 5:00 pm. 

2        Saturday Registration Format For Cottages and Camping: 

A. Walk-in     B. Two Mailings (by lot).      
No Saturday Phone Calls

3.      Registration forms: One form for both cottage and camping 
reservations.  Please use one form for each nonconsecutive 
week request and a separate check for each reservation 
requested.  It is to your benefit to mail in your camping or 
cottage requests.

4        Walk-ins may arrive starting at 8:30 am on Thursday 
prior to your cottage or camping registration date. 
Names will be picked by lot starting at 9:00 am for those 
present.  One representative per group or individual 
registration.
  All walk-ins once in line must have on-site 
representation from your cottage or camping group at the 
Grounds until the Saturday registration process to keep their 
spot in line. In case of deep snow the campground is not 
plowed for recreational vehicles or campers. Sunshine room is 
open 8:00 am to 10:00 pm.   Food and beverages will be 
available.

5        Group reservations:  Please mail all registrations in one 
envelope with the membership fee and appropriate camping 
deposit for each camp site. Please send just one mail-in 
envelope per camping group. Duplicates will be 
combined and viewed as one request.

6.      We will also take reservations for:

A.    X Week / Home School Week – June 5 to 12

B.     Senior Week – September 7 to 12

C.     Ultimate Date Weekend – October 1-3

D.    Family Fall Harvest Festival – October 20-24

Grounds! 
We know the registration process is an exciting time for 
our camping and cottage families!   We also understand that it can be 
challenging and frustrating to reserve the right week, the right camp 
site, or even to just get in!  We continue to ask for your patience 
during the registration process.  If you are planning to come in person 
for cottage reservations on Saturday, January 9, we are usually booked 
the peak summer weeks by 9:00 am. If you are coming for camping 
reservations on Saturday morning, January 16, please plan on staying 
for an extended period of time.  We recommend that you come in the 
afternoon to reduce your waiting time.  THANK YOU FOR BEING A BLESSING TO THE GROUNDS MINISTRY!  May our light 
always be shining for Jesus Christ!
