Summer 2012 Cottage and Camping Registration Day Guidelines

Thank you for reserving cottages and campsites at the Grounds!  We know the registration process is an exciting time for our camping and cottage families!  We also understand that it can be challenging and frustrating to reserve the right week, the right campsite, or even to just get in!  We continue to ask for your patience during the registration process.  If you are planning to come in person for cottage reservations on Saturday, January 7, we are usually booked for the peak summer weeks by 9AM.  If you are coming for camping reservations on Saturday, January 14, please plan on staying for an extended period of time.  We recommend that you come in the afternoon to reduce your waiting time.  THANK YOU FOR BEING A BLESSING TO THE GROUNDS MINISTRY!

COTTAGE REGISTRATION DAY:  January 7, 2012 7AM-3PM

CAMPING REGISTRATION DAY:  January 14, 2012 7AM-5PM

We will take one walk-in and two mailings (by lot) and continue this process throughout the day.  PLEASE NO SATURDAY PHONE CALLS!

Registration forms are available by clicking here.  Please use one form for each nonconsecutive week request and a separate check for each reservation requested.  It is to your benefit to mail in your camping or cottage requests even if you plan to make reservations as a walk-in.

Walk-ins may arrive starting at 8:30AM on Thursday prior to your cottage or camping registration date.  Names will be picked by lot starting at 9AM for those present - one representative per group or individual registration.  All walk-ins, once in line, must have on-site representation at the Grounds until the Saturday registration process to keep the spot in line.  In case of deep snow, the campground is not plowed for RV's or campers.  The Sunshine Room will be open from 8AM-10PM.

Please mail all group reservations in one envelope with the membership fee and appropriate camping deposit for each camp site.  Please send just one envelope per group!  Duplicates will be combined and viewed as one request.

Reservation Regulations:

1.   All reservations are from Saturday to Saturday during the Summer camping season (June 16-September 1), and may be made for 1 or 2 consecutive week periods.

2.   If you want to make a reservation for more than one / two week period an interval of at least 1 week is required between reservation periods.

3.    When making reservations, please stipulate your 1st, 2nd and 3rd choices for conference weeks, camping sections (A, B, or C) and campsites (you may say any section or site for your third choice).

4.   Please review sites carefully and check for size of lot and electrical hookup available (Click here) if it can fit your trailer!

5.   Please use one reservation form for each week or two consecutive weeks. Use separate forms for each non-consecutive week!  (you may make copies of the registration forms)

6.   Reservations for Memorial Day weekend must be for a 3 night minimum (Friday through Monday).

7.   Reservations for Labor Day weekend may be made along with reservations for the preceding 1 or 2 week period, but must be for a minimum of 2 days (Saturday and Sunday).

8.   Sunday arrival and departure for camping is not permitted unless it is a medical emergency.

9.   Reservations will be confirmed after initial cottage registration (January 7) and camping registration (January 14) have taken place and we have your registration form and deposit.




Cottage Reservations

1.       Cottage reservations begin at 7:00 a.m. on Saturday, January 7, 2012 and will end at 3:00 PM.

2.       Cottage reservations will be taken in sequential order: one person at the door, two mail-ins (by lot). That sequence will be followed throughout registration day. No phone calls accepted on Saturday!

3.       Mail-in reservations will be accepted starting Monday, December 26, 2011 for cottages.

4.       Family groups may reserve up to four cottages for a one week period.  Additional requests are a separate transaction (place in line or mail-in).

5.        Family groups (requesting more than two cottages) may not make cottage reservations during Special Needs, Middle, or High School weeks.  You may reserve up to two cottages during these weeks.

6.       If you did not receive a cottage reservation your name will be placed on a wait list and your registration form and deposit will be returned.

7.       ABSOLUTELY NO PETS IN THE COTTAGES, OUT SIDE ON THE PORCH, OR BY THE COTTAGES!

Camping Reservations

1         Camping Reservations will start Saturday, January 14, 2012, from 7:00 am and end at 5:00 pm!

2         Camping reservations will be taken in sequential order: one person at the door and two mail-in (by lot). That sequence will be followed throughout registration day.  No Phone calls accepted on Saturday!

3         Mail-in reservations will be accepted starting Monday, January 2, 2012.

4         Church or large group reservations (more than four) must be separate from individual reservations (reservations for other weeks) in their mailing and at walk-in registration time.

5         Church and family groups (larger than four) may not make camping reservations during Middle and High School weeks.

6         The Board of Directors request that between Weeks 3 & 9 that you keep your camping requests to two weeks or less so we may accommodate as many families as possible during our peak camping weeks!  After April 1, 2012 you may call and check availability and make additional reservations.

7         If you are making multiple reservations for a group of four or less they must be the same campers or it is a separate reservation request (place in line or mail-in).

8         Camping registrations (1,800 requests) take a week to process after which confirmations will be mailed by the end of the week - January 20, 2012.

Non-Reserved Sites:

1.    Requests for non-reserved sites (5-sites A54, B21, C1,2,3) may be made in person or by phone 48 hours prior to the date requested.

2.   Non-reserved sites may be taken for a minimum of three days to a maximum of 14 days.  You may extend your stay on an unreserved site if you request is made 48 hours prior to your scheduled leaving and you have not exceeded the 14 day maximum camping period.

Cancellation Policy

1.   Cancellation refund requests MUST BE received at least 10 days prior to the reservation date to be eligible for a refund.

2.   Membership fee ($35.00) is NOT refundable.

3.   Processing fee of $5.00 will be charged for all cancellations where a refund check is issued.

4.   Cancellations received less than 10 days prior to arrival will forfeit their camping or cottage deposit unless we are able to re-reserve the campsite or cottage.

5.   Refunds will NOT be given to those who leave prior to their last day(s) of their scheduled reservation.

6.   Cancellations due to immediate family (grandparent, parent, child) illness or death are eligible for a camping or cottage deposit refund with Director approval.

7.   You may transfer you camping or cottage reservation to a new campsite or cottage (different week or site) provided we have received at least 10 days notice.  If less than 10 days your deposit will transfer if we are able to rebook your previous campsite or cottage.  If not, your camping or cottage deposit on your previous site will be forfeited.
